Notebook 3.0 and GTD

Notebook 3.0 and GTD

by Pahrens - 05:41AM, Apr 14, 2008

I am curious of what will be included GTD wise in Notebook 3.0? Of course you probably cant tell us yet. What I am hoping to see is an easy way to add contexts, ideally for me would be to simply type @context in the to do cell. Such as:- Clean out shed @home @errandsIf there was a context page in the indices that would make this ideal. I see there is no real easy way of making an inbox at the moment, I have no suggestions for this though.I have been using Things for a while and really like it but I would love to keep the applications I use to a minimum. Notebook has some really nice advantages like the ability to drag and drop files or folders in as to do’s.I am hoping to see some extra GTD features in the next version but I feel in the end I will probably buy Things. Thanks, Peter

I switched from Things over to Notebook because Things does not sync with iCal. That feature is (IMHO) the only thing holding Things back as a great GTD app.

Things will be getting iCal sync though. My biggest worry with the iCal sync in Notebook is the way it will sync every task, that is going to fill iCal right up with to do's.

It may be helpful to know that NoteBook will only sync action items (i.e., cells with a checkbox) to iCal.

Can't see any difference from most todo-apps that sync with iCal. And isn't this the main purpose of sync?

If you select "Publish items to calendars named for their pages" you can easily select what you want to focus on in iCal.

I heartily agree with requests made in the forum so far about improvements we'd like to see re: GTD features in Notebook 3.0. Contexts, space next to each cell for multiple stickers, the ability to indicate how much time (and/or effort) a task requires, notes for each cell (even if it's a note that only appears by mousing over a tag or sticker)--these all are excellent ideas.

Three features I'd like to see in addition to these, however, are:

1. The ability to enter tasks that are inactive until a certain date arrives. For example, every fall I have to put snow tires on my car, but it's not possible (or sensible) to actually do this until November. In an ideal 3.0, I could enter this task into a cell, give the cell an activation date of November 1, 2008, and the cell would be inert until activating on that date. A simple gray for the cell text, like is often used for completed tasks, would indicate this (a thick strikethrough would work better for completed tasks).

2. On the subject of completed tasks, it would be very useful for completed tasks to be date-stamped and moved to an archive page, like in kGTD.

3. Finally, since to do lists are only part of the battle, it would be very helpful if users could drag and drop tasks to a day planner page within Notebook. You can do this with iCal, but iCal is clumsy and a pain, and personally I find their day planner page too simplistic. You also can't customize it. Ideally in 3.0, users could set up their own day planner (maybe with the tables function?), drag and drop to it, and when a task is checked off in the day planner, 3.0 automatically updates the task status in the to do list.

My $0.02.

What I would love to see is the ability to write in line with your to do item @context and have it added as a tag. This would be much quicker than dragging and dropping them. Like the following

-Pick up milk @errand

This would speed my workflow up anyway.
What I like most about Things is the way contexts and projects stay with the task, I can move them to Scheduled, Someday, Next or Today and it is still all relevant. I don't know how you could achieve this in Notebook and keep it all manageable.

Second that! I tried to use Super-Find to search for @keywords but Super-Find (and the index) only finds words. If I could just write @errand and the search for the same string (and on top of that save my search as a "default" search.) Then most of this would be possible. But today it seems that NoteBook ignores every non-standard character and also common words.

Correct me if I'm wrong, but can't you create inboxes, in NoteBook, by simply creating a new To Do page or a top-level folder inside one of these pages?

While I second the idea of improving the keyword search, I hope the current "flat view" of Super-Search results will not be abandoned. All other To Do applications show activities inside their parent folders (like in NoteBook's To Do page).

This goes against Allen't principle of insulating single activities from any other surrounding events, to let you focus on a single activity at a time. Keywords would be a smart way of filtering; I hope they will not be used as parent folders.

For example, I would like to be able to see several keywords/tags next to a single activity. @Home and @Errands could be shown as tags next to the "Clean out shed" activity. When super-searching, I would be happy to see this activity filtered in when looking either for Home or Errands type activities.

On the contrary, I wouldn't like to see the activity shown inside the whole hierarcty, for example:

- Home
-- Maintenance
--- Clean out shed

I need to focus on "Clean out shed", not on "Home" or "Maintenance". The way Super Search shows its results now is fine to me, even if I would love to see the filtering/tagging system improved.

While I agree on what you say there are occasions when you could need some hierarchy. lets say you have a desk at your office and at home that needs to be cleaned:

- Office
-- Clean desk
- Home
-- Clean desk

In these situations you might end up with two "clean desk" in your day-list, which can be somewhat confusing.

Correct me if I'm wrong, Håkan, but can't this be done in the To Do page already? I hope the Super Find page does not become a duplicate of that page, but remains an alternative view.

What I would like, in the Super Find page, is some more keyword/tags, shown inline with the related activity. The list would still be flat, but context would be easier to see.

So, you would have the following display in the To Do page:

-Home
--Clean desk

While in the Super Find page it would be:

[Home] Clean desk

Well, I was referring to the clean and flat Super Find page...
Currently I'm using stickers for my "contexts" and keywords for my review periods so I get at least two of them in the Super Find page. So I do get [Home] Clean desk but [home] is a sticker...

But I do second your suggestion with inline tags!

I wonder if tags could be (optionally) added automatically, by getting the name (or the few word) of the topmost level in the referring page.

I usually have pages like this:

Page title: Apple
- First level title: iMac56
-- Second level title: User's Manual
--- Third level title: Write Chapter 1
--- Third level title: Send Chapter 1 to editors

While in the Super-Find page, I would find nice to see something like this:

[iMac56] Write Chapter 1
[iMac56] Send Chapter 1 to editors

Is there a function in NB 3.0 that will automatically update recurring tasks or to do items? When checked the next date will appear with an unchecked box.
E.G. “Put out the trash” recurs weekly., “Pay Bills” recurs monthly.
